Considerations for Event Designers

Artists normally paint silently in their studio without anyone looking at what they are doing; to paint on stage as a "performance" may be difficult for some to do. Professional artists who exhibit their work may not want to take the risk of painting in front of an audience and in a short time have the painting ready. In this case you can ask the artists to draw sketches or only to start the painting on stage and then give him/her time to finish in it in their studio. The artist needs to be well briefed and, if possible, should be allowed to meet with the speakers before participating. The briefing could include the following:

  • They should be given an example of work done on values so that they are "in tune" with what the BKWSU work is about.
  • They should be told that they are being asked to relate the main theme of the conversation with what they are painting.
  • They should be encouraged to bring their art materials, as they would know best what they need.

It is recommended that a professional photographer be invited to attend each event to photograph the painter at work on stage as well as the finished artwork. These photos could be exhibited at the UN together with each painting. (It should be a professional photographer so that the photos are of exhibition quality.)

Specifications to be given to artists and photographers:

The artist should be asked to sign a donation form giving the BKWSU the rights to use the artwork in the promotion and outcome of the project. On the selected art work, the organizer reserves the rights to exhibit and reproduce it at any time and by any means throughout the world.

The size of the art piece could be 24" x 36" (maximum), 17" x 17" (minimum) or any comparable size.

The size of the photograph of the painting should be 18" x 24". The size of the photographs with the painter at work should be 8 ½" x 11 "This would allow for cases in which there are big venues and big events, and artists may want to paint large paintings in order to make it interesting for the audience. In such cases the photos would be exhibited.

When the artist submits the painting and the photographer submits the photographs, he or she should also submit a brief biodata to include full name, address etc.

The artist can use either paper or canvas.

The recommendation is to use water based paint like acrylic, watercolors, tempera, gouache; or drawings-ink-pastel-charcoal-pastel (oil painting is more difficult to send in a tube as it takes a longer time to dry).

The art pieces could be rolled and mailed in a tube. The framing and curation will be done in New York to allow for uniformity in the exhibition.

The insurance for transport of the art piece, where applicable, should be taken care of locally.

The Brahma Kumaris in New York will be responsible for the return of the artwork to the BK center or directly to the artist.
